Spring Fundraiser Volunteer Opportunities

Hours vary from 7:00 am to 3:30 pm

This is the only fundraiser we have in Eagle River!  Our goal is to raise $10,000 to fund our scholarship program. Proceeds of this fundraiser will go directly to our scholarship fund so that all students have the opportunity to attend Trees For Tomorrow.  Every student experiencing nature by attending our hands-on inquiry-based classes during their education years can grow to be responsible users of our ecosystem as an adult.  Many schools cannot afford to send their students to Trees For Tomorrow and need assistance in funding environmental science education.

Volunteers will help to set-up, check in golfers, run games and contests, take pictures, and assist with raffles and the silent auction.  Volunteers should plan on arriving 10-15 minutes prior to their shirt, hours vary, see position descriptions. Are you an extrovert?  Do you love a challenge?  Be brave and fearless helping us raise funds and donations for our event.  You'll make phone calls to various organizations and ask for their support as a sponsorship or through a donation to our raffles and auctions.   You'll follow up withs ending them sponsorship or donation forms and arrange for pickup of items.  Overall duties are to work with Trees staff and other volunteers to put together a silent auction for our golf outing fundraiser; Follow up with prospects with phone calls or personal visits to solicit or pick up silent auction items; Record items as received.

3-6 months prior to event

Self-paced position to starts 3-6 months prior up until event.

Set Up

Help set up the registration area the night before the event. This will take about 2 hours.

Floater

Fixers for anything and everything, will help where ever necessary.  Will drive golf cart on golf course as necessary.

Golfer Registration

Responsible for checking in each player and ensure they receive appropriate instruction for the day.  Notify each player of pertinent information.  registration begins at 7:15 am for the 8:30 Shotgun, though some players may begin arriving before then.  Volunteers assisting with registration will work closely with the Event Coordinator.  This is a shorter shift typically lasting about 2 hours.

Greeting

Volunteers are responsible for ensuring that each golfer has everything they need and they know where they are going AFTER going through registration and as they leave the clubhouse. This is a short shift typically only lasting about 1 1/2 hours.

Volunteer Check In

Responsible for checking in all volunteers and making sure each understands duties and responsibilities.  Ensure each volunteer receives a name badge and T-Shirt if necessary.  Direct any volunteer questions to Kristine or Cheryl.  Volunteers will begin arriving at 7:00 am.  This is a short shift typically only lasting about 1 1/2 hours.

Emcee

Our emcee greets the golfers when seated for lunch thanking them for their attendance and generosity in supporting our mission.  Recognizes each volunteer and thanks them all for their hard work.  Then the real fun begins as this position will draw raffle tickets and announce winners of raffles, games, and contests.  This position sets the mood of the afternoon.

Event Photographer

Document with pictures the event to be posted on Facebook within 2 weeks after the event.  Include the following photos: golfers registering/checking in photos of all golfers, foursomes, on the course, hole sponsor signs on the actual hole, presenting sponsor signs, sponsors displaying at their designated holes, contests/games on the course, golf carts staged and ready to go prior to shotguns, putting green while golfers are warming up, driving range while golfers are warming up, lunch, volunteers, silent auction area, inside and outside the clubhouse, etc. This person needs to be very outgoing and not afraid to request the golfers to be in photos.  Expect to be at the course for at least 6 hours.

Contest Attendants

Specific assignments will be given the day of the event for the on course contests.  Each contest will have two attendants, it is important that AT LEAST one person is tending the hole at any given time during the golf round.  This is a long shift lasting from 45 minutes prior to the shotgun through the entire round of golf.  Expect to be at the course for at least 6 hours.

Silent Auction Monitors/Closers 

Monitor Silent Auction; Efficiently close items that were purchased at “Guarantee Bid” price. Answer attendee questions; Encourage bidding and conversation about silent items; Remove silent bids when respective silent auction closes; Bring closed bid forms to the "Check Out" area for volunteers to process.  You'll walk the silent auction and remove bidding sheets if an item has been purchased at its "Buy it now" price.  You'll also close the silent auctions at the designated times.  Circle winners' bid numbers and deliver to the registration desk.

Raffle Assistant

If you have boundless energy, pay attention to details and can be quiet as a mouse then this is the volunteer gig for you! We need help with running raffle items to winners, and running docs from recorders to data entry. This volunteer job takes place during dinner; if you sign-up for this job you should sit for our lunch prior to the start of the raffle.

Clean Up Crew

We need some muscles to help load supplies in vehicles to take back to Trees campus; Two volunteers will do out on the course and collect sponsorship signs and display them at the exit for golfers to see as they leave for the day.
